Calendar management as an agent task
Calendar management is time-consuming and cognitive-load-heavy: finding open slots, avoiding conflicts, preparing for meetings, following up after. Claude with Google Calendar access can handle most of this.
Scheduling an appointment
"I need to schedule a 45-minute kickoff call with Scott Gallagher (Gallagher Auto Spa) sometime next week.
My constraints:
- Avoid before 9am and after 4pm
- No back-to-back calls — I need 15 minutes between them
- Tuesday afternoon preferred if available
Check my calendar for next week, find 3 options that work, and draft an email to Scott with the options (do not send yet)."
Day and week briefings
"Give me a briefing for tomorrow:
1. What's on my calendar? (all events with times)
2. Any conflicts or things running back-to-back?
3. Which meetings do I need to prepare for?
4. Any gaps in the day I could use for deep work?
For meetings with clients, remind me what project we're on and what the last status was."
Meeting prep briefing
"I have a call with [client name] at [time]. Pull together a meeting prep brief:
- What project are we on and what's the current status?
- What did we last discuss? (check email history)
- What are the open items on their side?
- What do I need to bring up / decide on this call?
Keep it to one page — I'll read it right before the call."
Post-meeting follow-up
"I just finished a call with [client]. Here's what we discussed:
[paste your notes]
Create:
1. A calendar event for the next check-in we agreed to
2. A draft follow-up email summarizing: decisions made, action items for each of us, and the next meeting time
3. A note in the client's Drive folder"
